Job Description
Administrative Assistant Responsibilities
  • Documentation – This starts with the details related to individual projects (PPR’s – prototype parts request), up to the various management reports that can summarize the financial position of the location
  • Maintain hard copy files for PPR’s, containing PO’s, shipping docs, engineering info, etc
  • Purchasing – Issue all PO requisitions needed to support the individual projects
  • Secure management approvals for these PO reqs, per policy
  • Work with Purchasing to set up new vendors, when required
  • Coordination & Facilitation – Interface with customers and suppliers to assure understanding of requirements, follow-up with key suppliers to assure on-time completion of the projects goods and services required
  • Logistics – Create shipping documents for outbound shipments (Shipper, Bill of Lading, proforma invoices, customs docs) as needed
  • Analyze lowest cost freight forwarding for both inbound and outbound shipments
  • Coordinate with carriers to assure on-time pick-ups and deliveries
  • Tracking – In addition to the financial tracking, the AA must follow the progress of individual PPR’s, to be able to notify management of potential delays in project completion due to vendor / supplier issues
  • Compliance & Certification – The AA must follow internal and external policies and procedures, and be able to provide documentation when requested by auditors
  • Other – Administrative tasks and assignments as directed by the Manager
Administrative Assistant Requirements
  • Minimum of a High School diploma required, with a preference towards business and computer courses
  • Strong math skills
  • Solid keyboarding skills, with experience with MS Office (Excel & Word)
